Grade 31, $21.76/hour

Start Date: Immediately

 

This position requires flexible work hours that align with the hours of program and event calendars.  The 40-hour workweek may include nights and weekends, and may involve working irregular hours in order to meet grant requirements.

 

Purpose Statement

The job of First Things First Manager is done for the purpose/s of providing support for parents and families by strengthening their involvement in education; organizing and distributing information; providing training; conducting education classes; and maintaining communication with a variety of personnel.

 

This job reports to Director of Community Education.

 

Essential Functions

Acts as a liaison between school program site and families for the purpose of facilitating communications in regards to the First Things First program.

 

Compiles data from a variety of sources for the purpose of analyzing issues, ensuring compliance with established policies and procedures, and/or monitoring program components.

 

Collaborates with a variety of internal and external personnel (e.g. district and school personnel, community partners, school staff, students, etc.) for the purpose of implementing and maintaining services in accordance with established administrative guidelines and legal requirements.

 

Conducts meetings, workshops, and trainings (e.g. parent information programs, parent education classes, etc.) for the purpose of conveying and/or gathering information and supporting staff and families.

 

Coordinates a variety of activities (e.g. opportunities for parents to enrich their skills, classes, workshops, etc.) for the purpose of delivering services in compliance with established guidelines.

 

Implements appropriate programs (e.g. training, education classes, Pre-K and Kindergarten readiness workshops, etc.) for the purpose of providing resources to families with children from birth to five in a safe family centered environment.

 

Maintains a variety of confidential and non-confidential manual and electronic lists and records (e.g. training materials, student data, program evaluations, etc.) for the purpose of providing required information and/or documentation.

 

Manages community resource information for the purpose of supporting and increasing awareness for families of children from birth to 5 years of age.

 

Organizes and helps distribute a variety of materials to principals, teacher, parents and community member for the purpose of providing information that meets program and grant requirements.

 

Participates in meetings, workshops, trainings and seminars for the purpose of conveying and/or gathering information required to perform functions.

 

Prepares a wide variety of materials (e.g. informational materials, program evaluations, etc.) for the purpose of providing supporting materials for requested actions.

 

Researches resources and programs for parents and children for the purpose of providing requested information and/or trainings.

 

Responds to a variety of inquires (e.g. staff, parents, students, etc.) for the purpose of identifying the relevant issues and recommending or implementing a plan of action that will efficiently resolve the issue.

 

Schedules programming and resources for families for the purpose of complying with program and grant requirements.

 

Conducts outreach and recruitment activities aligned to the targeted geographic areas and target populations in accordance with grant requirements.

 

Meets grant requirements regarding professional development relevant to the strategy implementation as well as other, specific training identified within the Standards of Practice document.

 

Manages assigned program and/or departmental responsibilities (e.g. allocated budget, procurement of materials, payment of site managers and temporary staff, etc.) for the purpose of upholding the integrity of grants according to district and state regulations.

 

Monitors program/services for the purpose of ensuring stated outcomes are achieved, relevant policies and procedures are met, and services are efficiently provided within budgetary and regulatory guidelines.

 

Prepares a variety of program-mandated reports (e.g. monthly, weekly, quarterly, etc.) for the purpose of ensuring ongoing funding by complying with district and/or grant/program requirements.

 

Supervises site coordinators and other assigned staff for the purpose of ensuring standards are achieved and performance is maximized.

 

 

Other Functions

Creates and maintains an account in the Arizona Early Childhood Workforce Registry including all required documentation and information within six months of hire.

 

Ensure that all grant requirements are followed and maintained at all times.

 

Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

 

Job Requirements:  Minimum Qualifications

 

Skills, Knowledge and Abilities

SKILLS are required to perform multiple tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including utilizing pertinent software applications; planning and managing projects; developing effective working relationships.

 

KNOWLEDGE is required to perform basic math, including calculations using fractions, percentages, and/or ratios; review and interpret highly technical information, write technical materials, and/or speak persuasively to implement desired actions; and analyze situations to define issues and draw conclusions.  Specific knowledge based competencies required to satisfactorily perform the functions of the job include: public relations policies and procedures; community resources; and methods of instruction and training.

 

ABILITY is required to schedule activities, meetings, and/or events; gather and/or collate data; and use basic, job-related equipment. Responsibility

Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others;  utilization of some resources from other work units is often required to perform the job's functions. Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling,  some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 34% sitting, 33% walking, and 33% standing.  The job is performed under minimal temperature variations and under conditions with some exposure to risk of injury and/or illness.

 

 

Experience:   Two years program management experience overseeing programs serving families with young children.

Education:     Minimum of a bachelor’s degree in early childhood development, education, family studies, social work, nursing, or a closely related field.
