Purpose Statement
The job of College & Career Specialist is done for the purpose/s of providing a wide variety of confidential administrative support to the counseling department; with specific responsibilities for providing students and parents with information on career and/or post high school educational/vocational opportunities, university and community college requirements; administering and interpreting career assessment tools; coordinating assigned projects and planning on site presentations by college, career and military representatives.
This job reports to Building Assistant Principal
Essential Functions
Assists students to prepare applications (e.g. scholarships, college, financial aid, etc.) for the purpose of ensuring completion of application processes within designated time frames.
Assists students (e.g. financial aid, college materials, applications, on line registration, scholarships, etc.) for the purpose of supporting activities necessary for securing financial aid for post graduation academic and/or vocation opportunities.
Compiles data from a wide variety of sources (e.g. regarding scholarships and financial aid, Class Rank and GPA reports, etc.) for the purpose of providing up-to-date, accurate counsel to students and entering data into Family Connections.
Conducts student workshops and/or presentations and personal interviews with each senior for the purpose of providing student with information regarding occupational programs, Career Center's services, and/or other post high school opportunities.
Coordinates on-campus site visits by college and university recruiters, including Career Day, for the purpose of ensuring availability of facilities and enhancing students' access to educational opportunities.
Maintains a variety of confidential and non-confidential manual and electronic lists and records (e.g. inventory of college catalogues, applications and web site locations, etc.) for the purpose of ensuring the availability of materials for internal use and distribution as required.
Maintains a wide variety of manual and electronic documents files and records (e.g. College & Career Center website, College & Career student folders, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
Participates in a variety of meetings, workshops and committees (e.g. university/college information session, class visits, community service group meetings, school and college committees, etc.) for the purpose of conveying and/or gathering information required to perform functions and remaining knowledgeable with program guidelines.
Prepares a variety of documents, reports and written materials (e.g. individual awards, invitations, event programs, bulletins, reports, etc.) for the purpose of communicating information to parents, staff; providing written support, developing recommendations and/or conveying information.
Researches educational and/or career opportunities for the purpose of providing students with information on educational and/or career opportunities.
Schedules career and/or vocational assessments of students' interests and abilities (e.g. ASVAB testing, etc.) for the purpose of evaluating career options.
Solicits information and/or materials from colleges and other organizations (e.g. college, trade/technical schools, college videos, etc.) for the purpose of enhancing the Career Center reference collection and providing additional resource for students and parents.
Other Functions
Monitors student activities in the Career Center for the purpose of providing a safe and positive environment.
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Performs general clerical tasks for the purpose of supporting the counseling department within the school site.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; and utilizing pertinent software applications (Naviance/Family Connection and Infinite Campus); customer service; screening telephone calls; classifying data and/or information; promoting activities and/or events.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; office practices; recordkeeping and record retention practices; codes/laws/rules/regulations/policies.
ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize specific, job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; and displaying tact and courtesy; organizing tasks; accuracy and attention to detail; meeting deadlines and schedules.
Responsibility
Responsibilities include: working under direct supervision using standardized procedures; providing information and/or advising others; utilization of some resources from other work units is often required to perform the job's functions. There is some opportunity to effect the organization’s services.
Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 65% sitting, 25% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
Experience: Job related experience is required.
Education: High school diploma or equivalent.
